If you’ve run a birth practice for more than five minutes, you know the struggle: you are balancing contracts and invoices on one app, tracking tax mileage in a spreadsheet, sending client updates over unsecured SMS, and trying to remember which client hit week 34 of pregnancy today.
When we were scaling Stork Helpers, we hit a wall. We loved our clients, and we loved supporting families across our community, but our administrative backend was becoming a chaotic “Frankenstein stack” of disconnected software.
We looked everywhere for a single platform that could actually handle a real birth practice. When we couldn’t find one, we decided to build it ourselves. Here is why generalist apps failed us, and the 21 features we knew every birth practice actually needed.
The Reality Check: Where Other Apps Fell Short
When you operate a practice with multiple doulas, middle-of-the-night birth runs, and strict privacy needs, standard software breaks down quickly:
- HoneyBook and Dubsado were great for bills, but blind to birth. They let us take credit card payments, but they had no idea what a gestational timeline was, couldn’t time a contraction, and didn’t protect client health information.
- Generic messaging caused doula burnout. Texting clients directly meant doulas on call were receiving non-urgent messages at 3 AM. We needed a system with Quiet Notification Hours and a Secure HIPAA Chatroom.
- Growing into an agency created administrative chaos. Managing backup doulas, tracking team hours, and assigning clients on spreadsheets became impossible. We needed an Agency Command Center and an Agency Time Clock.

Built by Birth Workers, for Birth Workers
We didn’t build BirthFlow as a generic software company guessing what doulas do. We built it directly out of our daily operational needs at Stork Helpers—testing every feature during real client care, real birth runs, and real agency scheduling.
If you are a solo doula trying to streamline your days, or an agency owner struggling to manage a growing team, stop trying to force general business apps to fit birth work.
