In that time, I’ve had the honor of supporting families through over 400 births. It has been the privilege of a lifetime, but it has also been a masterclass in the limitations of “doing it all.”

For the longest time, my husband, Jesse, would watch me come home from a birth only to spend hours buried in Google Drive, chasing signatures, and trying to reconstruct a timeline for a client’s Birth Story. He kept asking the same question: “What can we do to make this easier for you?”

The Reality of the “Doula Ceiling”

We realized early on that there is a “Doula Ceiling.” Because you are limited by how many births you can physically attend, scaling an agency isn’t about working more—it’s about working smarter.

For years, we tried to manage our agency through a mix of personal notes, fragmented folders, and endless text threads. It worked when we were small, but as our team grew, it became a liability. We were spending more time managing the files of a birth than we were focusing on the experience of the birth.

I didn’t need a way to take on more births; I needed a way to reclaim the hours I was losing to administrative tasks. I needed a system that understood the nuances of my job:

  • Security First: I needed to ensure my clients’ data was locked down. Medical histories and birth preferences are deeply private. BirthFlow’s mandatory 2FA (Two-Factor Authentication) gives me peace of mind that sensitive client information is protected, not just sitting in a vulnerable, unencrypted folder.
  • Team Continuity: In a 400-birth career, you learn that you can’t do it alone. I needed my backup doulas to know exactly what happened in the prenatal appointments I wasn’t at. Our Journey Tracker ensures that regardless of who is on call, the whole team is seeing the same roadmap, keeping our care consistent and seamless.
  • The Keepsake Factor: I wanted to give my clients a beautiful summary of their birth without needing to spend my day off formatting Word documents on a laptop. Now, I simply hit “Publish Birth Story” the second the baby is born. The system takes the real-time notes I logged during labor and instantly converts them into a beautiful, permanent keepsake on our official letterhead.
  • Onboarding Efficiency: The most stressful time for a new client is the transition from “hiring” to “onboarding.” Our Smart Invitations feature allows me to send a custom contract, gather signatures, and automatically generate their secure client profile in one click.

A New Chapter for the Birth Community

We started building BirthFlow to solve my own problems at Stork Helpers. We wanted a way to send contracts that didn’t feel like a chore, a way to track births that didn’t require an afternoon of formatting later, and a way to keep our whole team on the same page.

It worked so well that we decided to share it with the rest of the birth community.

BirthFlow is now the engine that powers Stork Helpers, and as of today, it’s available to every other agency owner looking to reclaim their time. I’m so proud to share this with you—not just as a business owner, but as a doula who knows exactly what it feels like to finally have the right tools in your corner.

We aren’t trying to replace the doula; we are trying to give the doula their life back.

Thank you for being part of this journey with us. Let’s make birth work a little bit easier for everyone.
